Wine barrel filling and storage protocol

Recommendations upon receipt of barrels

  • Verify that the delivered batch of barrels (quantity, cooperage) matches the order details, and do so in the presence of the delivery driver.
  • In the event of any damage (physical, etc.) observed and potentially caused during transport, it is essential to record detailed reservations in writing on the delivery slip and inform H&A as soon as possible.
    After 48 hours, any claim not reported to H&A will no longer be eligible for carrier processing.

The following steps are also necessary:

  • Remove the plastic wrap and security tape
  • Eliminate SO₂ by rinsing (see Recommendations for Using Reconditioned Barrels)
  • Check for the absence of any unusual odors inside the barrels once moisture has evaporated
  • Inspect the interior for any foreign objects

If suspect odors are detected after the humidity has dissipated, perform Cleaning Protocol 2.
If odors persist, contact H&A.H&A’s Quality Department ensures that each order is precisely inspected and aligned with client specifications.
Any concerns regarding the sanitary condition of the barrels must be reported to the Quality Department within 8 days.
After this period, H&A cannot be held responsible for any deviations or contamination that may occur.

Recommendations for using reconditioned barrels

H&A guarantees the origin, traceability, and inspection of all barrels.
Barrels are not sold as ready-to-use. The final user must follow the instructions below before filling them with wine.

For Immediate Use:

Transport and prolonged storage can lead to dehydration.
Wood is a living material, and under certain conditions (heat, dry air, drafts), its humidity level can fluctuate.

Before use, soaking the barrel will ensure optimal performance:

With hot water:

  1. Place the barrel vertically and pour 20 liters (5.3 gallons) of chlorine-free hot water between 75–90 °C (167–194 °F)
  2. Reinsert the bung and shake the barrel for a few minutes to moisten the interior
  3. Stand the barrel on one head for 4 to 12 hours
  4. Flip it onto the other head for another 4 to 12 hours
  5. Drain the barrel, bung side down

If minor leaks appear and persist after these steps, proceed with the cold water soaking method.

With cold water:

  1. Lay the barrel horizontally with the bung facing upward and fill with chlorine-free cold water
  2. Replace the bung and let it sit for 24 to 48 hours
  3. Drain the barrel, bung down

If any leaks persist beyond 24 hours, contact H&A.

⚠️ If barrels are not filled within 8 days of receipt, the buyer assumes full responsibility for their storage and maintenance conditions.

For Delayed Use:

If the barrels will not be used immediately after delivery and must be stored:

  1. Store the barrels in a room with a temperature below 63 °F (17 °C) and relative humidity between 65% and 75%, with no drafts
  2. Regularly check the condition of the SO₂
  3. Sulfurize with 5 to 10 grams of sulfur stick per barrel every 3 to 4 weeks
